DDP allocates delivery obligations between seller and buyer. The logistics quote defines a provider’s services. Align them, but do not treat them as the same contract: a provider’s exclusion does not automatically remove the seller’s existing DDP obligation to the buyer.
Questions to answer before departure
Who is the importer and who authorizes the customs filing?
Which freight, duty, tax, destination and delivery items are included?
Where exactly does delivery responsibility end?
Who pays examinations, storage, demurrage, amendment or redelivery costs?
What happens if product, value, quantity, documents or address changes?
DDP in the sales contract does not make every logistics charge all-inclusive
DDP delivery is import-cleared cargo at the agreed destination, on the arriving vehicle and ready for unloading. Separate unloading responsibility from whether its cost is covered by the carriage contract; door delivery is not automatically indoor placement or installation. ICC: the Incoterms® 2020 DDP rule
Add three usable explanations to the headline price
- Seller and buyer: Name the rule version and precise delivery point. Establish a workable import arrangement, document duties and required cooperation—not just a country or city.
- Import and customs contacts: Confirm the actual importing entity, authorization, product facts and tax assumptions. Flag changes that affect the quoted arrangement.
- Logistics and receiving teams: List inclusions, exclusions, validity and site conditions. For examination, storage or waiting, define the trigger, charging basis and notice/approval process.
Exception charges need a trail—not just “at cost”
Record the cargo, value, address, dimensions and operating assumptions behind the quote. If an examination, storage, detention, failed delivery or added handling requirement arises, document the reason, cost basis, responsibility and approval. Reconcile this with the sales term rather than passing every exception to the buyer. No provider can promise no customs examination, unchanged tax or eligibility for an unqualified importer.
Turn the review into an execution list
Name the delivery point
Go beyond the country and city: specify an identifiable address or handover location.
Assign import responsibilities
State who handles the declaration, taxes, authorization and requests for missing documents.
Separate the quote components
Distinguish freight, taxes, port charges, delivery, unloading and potential exception costs.
Agree how changes are handled
Set out when changes to documents, cargo, rules or the address require a revised quote and renewed confirmation.
Useful records for the first review
- Product, value, quantity, origin and classification support
- Importer, consignee and authorization information
- Full delivery address, appointment and unloading requirements
- Written inclusions, exclusions, validity and change assumptions
Minimum points in a duty-paid delivery quote
Copy these points into your shipment file. Leave unknown items open and name the person who will confirm each one.

What the logistics plan cannot replace
DDP allocates seller obligations under the sales term, but it does not override local laws on who may import or file customs entries. The local structure still needs to be lawful and workable.

This review: Separated the sales-contract DDP rule from the logistics quote and added unloading and exception-cost approval points.

Sources for further verification
Requirements should be checked against the responsible authority, the importer and the actual filing arrangement at the time of shipment.
